RSVP
Whenver you add an item to your group calendar you have the option of sending an email invitation to any or all group members. Those invited can then respond to the email and let you know if they're attending or not, whether they're bringing guests and if they have other information they want you to know.
Sending the Invitation
The process is simple:
- Create a calendar entry (event, game or practice) and save it.
- If you haven't added any attendees click the Actions button and select Add Attendees. If you have, you can update the list using the Edit button in the Attendees section.
- Select the members you want to invite. Check the box by those you want to invite. Click Save.
- Click the Invite button. Edit the email as desired, then click Send. The email will be sent to all those selected in step 3.
If later you wish to add more members, follow the steps above. When you send the email it will be sent only to those who have not been invited.
Getting Responses
Each person invited will receive an email with a link they can use to respond. Clicking the link takes them to a web form where they can indicate if they will attend and if they'll be bringing guests. They can also provide a comment, as appropriate.
Checking Status
To see who will be attending, view the calendar event, game or practice. The Attendees section will list all those who have responded, with their status. On the monthly calendar, if you hover over the event you'll see a summary of how many will attend, how many won't attend and how many have not yet responded. When checking status, if you want to follow up with any attendees, click the Actions button in the Attendees to send them a blast.
